TERMS & CONDITIONS
Article 1 – Purpose and Scope
These Terms & Conditions (hereinafter “T&C”) govern the contractual relationship between ASI CORP SRL, operating the HubTransfers service (hereinafter “the Provider”), and any individual or legal entity making a booking with the Provider, whether on www.hubtransfers.com or arranged directly with us (hereinafter “the Client”). Where a company, travel agency or other business books on behalf of a passenger, that business is the Client and is responsible for payment, cancellations and refunds.
HubTransfers is a private chauffeured vehicle transfer service operating to and from Brussels Airport (BRU – Zaventem), Brussels South Charleroi Airport (CRL) and Antwerp Airport (ANR). Pick-up and drop-off are available in Belgium, the Netherlands, France, Germany and Luxembourg.
By completing a booking, the Client fully and unconditionally accepts these T&C.
These T&C govern the use of the website, payment, and general legal matters. The Booking Conditions govern each individual booking and how it is carried out. Where the two differ on a specific booking, the Booking Conditions prevail.
Article 2 – Services Offered
The Provider offers the following services:
- Airport transfers: pick-up and drop-off at Brussels Airport (BRU – Zaventem), Brussels South Charleroi Airport (CRL) and Antwerp Airport (ANR)
- Train station transfers: to/from Brussels-Midi and other Belgian stations
- Long-distance transfers: within Belgium and to the Netherlands, France, Germany and Luxembourg
- Chauffeur-driven vehicle hire for any destination within our service area (Belgium, the Netherlands, France, Germany and Luxembourg)
Available vehicles, their features and applicable rates are displayed during the online booking process.
Article 3 – Booking Process
Bookings are usually made online via www.hubtransfers.com through the following steps:
- Enter journey details (origin, destination, date and time)
- Select vehicle and desired options (child seats, luggage, etc.)
- Enter passenger details
- Confirm and pay securely online
- Receive a booking confirmation by email
A booking is definitively confirmed upon receipt of the confirmation email. If no confirmation is received, the Client should contact the Provider at contact@hubtransfers.com. Bookings may also be arranged directly with the Provider by email, phone or WhatsApp and settled through a payment link or an invoice. These T&C and the Booking Conditions apply to those bookings in exactly the same way.
Article 4 – Pricing and Payment
All prices are displayed in euros (EUR) inclusive of all applicable taxes at the time of booking. The displayed price is fixed and final for the selected journey, and includes VAT, tolls, airport parking fees and fuel. Prices vary with the date and time of the journey, and the price shown before payment is final. In the event of an obvious pricing error, such as a technical fault producing an amount clearly disconnected from the journey booked, the Provider will contact the Client before the transfer to agree a corrected price or cancel the booking with a full refund.
Payment is processed online via Stripe, secured by SSL/TLS encryption. The payment methods available are shown at checkout and include major credit and debit cards, Bancontact, Apple Pay and Google Pay.
Once a booking is confirmed, the price does not change. The only charges that can be added are:
- A change of destination requested during the journey, quoted and agreed at the time
- Damage or additional cleaning caused by the Client or their passengers
Article 5 – Cancellation and Refund
The Client may cancel their booking free of charge up to 24 hours before the scheduled pick-up time, provided the Provider is notified by email at contact@hubtransfers.com with the booking reference number.
Cancellation policy:
- Cancellation more than 24 hours before departure: full refund
- Cancellation less than 24 hours before departure: no refund
- No-show (Client fails to appear): no refund
The Provider reserves the right to cancel a booking in cases of force majeure (extreme weather, strikes, unforeseeable events). In such cases, the Client will receive a full refund as soon as possible. If the Provider cannot carry out a confirmed booking for any other reason on its side, including vehicle breakdown or driver unavailability, the Provider will either provide a replacement vehicle or refund the Client in full. Conversely, the fare is not reduced where the journey turns out shorter than booked, as the vehicle and driver are reserved for its full duration.
Article 6 – Provider’s Obligations
The Provider undertakes to:
- Provide a clean, roadworthy vehicle
- Assign a professional, punctual and courteous driver
- Complete the booked journey under the agreed conditions
- Hold all legally required insurance for passenger transport
In the event of a delay attributable to the Provider, the Provider will notify the Client as soon as possible and propose an alternative solution.
Article 7 – Client’s Obligations
The Client undertakes to:
- Provide accurate information at the time of booking (time, location, number of passengers, luggage)
- Be present at the agreed pick-up location at the agreed time
- For flights, provide the flight number to enable real-time tracking
- Behave respectfully towards the driver and not damage the vehicle
- Not transport dangerous or illegal goods
Any damage caused to the vehicle by the Client or their companions will be billed to the Client.
Article 8 – Liability
The Provider’s liability is limited to direct damages resulting from a proven fault in the performance of the service. The Provider cannot be held liable for delays caused by external factors (traffic, weather conditions, road closures, flight delays, etc.).
The Provider is not liable for luggage or items left in vehicles, although every reasonable effort will be made to return them to the Client. In all cases, the Provider’s total liability for a booking shall not exceed the amount paid for that booking.
Article 9 – Complaints
Any complaint regarding a service should be submitted as soon as possible after the journey by email to contact@hubtransfers.com, including the booking reference number and a detailed description of the issue.
The Provider acknowledges every complaint within 5 business days and undertakes to resolve it within 14 business days of receiving it. Where the Client is a business, including a travel agency or other intermediary, complaints must reach the Provider within 7 days of the date of service; complaints raised after that period may not be considered. Any issue arising during a service should be reported to the driver or to the Provider at the time, so that it can be addressed while the service is ongoing.
Article 10 – Data Protection
Personal data collected during the booking process is processed by ASI CORP SRL in compliance with the GDPR. This data is used solely for the purpose of providing the service and is not shared with third parties without consent, except where required by law.

Article 11 – Governing Law and Jurisdiction
These T&C are governed by Belgian law. In the event of a dispute, the parties will endeavour to reach an amicable resolution. Failing that, the competent courts of the judicial district of Brussels shall have jurisdiction, without prejudice to any right the Client may have as a consumer to bring proceedings before the courts of their country of residence.
Article 12 – Amendments
The Provider reserves the right to amend these T&C at any time. The applicable T&C are those in force at the date of booking. Amendments do not affect bookings already confirmed.
